Security (Version 1.0, revised Aug 2018)

It is important that you are aware of the need for sensible security precautions in all areas of the Organisation’s business, particularly to protect confidential information relating to the Organisation’s products and our customers, high value office equipment and personal property belonging to employees and visitors.

The following security measures must be observed:

If you encounter unaccompanied strangers on the premises, you should not be afraid to ask them politely who they are and if necessary, ask for credentials. If suspicions are aroused then a Manager should be alerted immediately.

The last key-holder leaving the building should ensure that all windows are closed/fastened, doors are locked and the intruder alarm system set.

Key-holders must not disclose their identification codes and/or hand their keys to any other person who is not a designated key-holder, without prior permission.

If tools or materials etc. are taken off site, they must be kept secured in a vehicle boot and must be out of sight. The vehicle must be locked and any security devices set and all booking out procedures must be adhered to.

If you are travelling and stop en-route, lap-tops, mobile phones or other technical equipment must be secured in a vehicle boot and be out of sight. The vehicle must be locked and any security devices set. Upon arrival at your destination, such equipment must be removed from the vehicle and taken indoors.

Any loss of information, office keys, or possible breach of security must be reported to your Manager immediately.

The parking of your private vehicle on the Organisations premises is at your own risk and the Organisation does not accept responsibility for damage to or theft of or from private vehicles.

Furthermore, the Organisation does not accept responsibility for the loss or damage of personal property of any employee. If you find any lost property on the Organisations premises, it should be handed in to your Line Manager. Similarly, if you lose property you should also advise your Line Manager immediately.

Secure information should be used and processed in strict adherence to GDPR regulations.
